Lightning Damage Updates

At approximately 9:00PM on 8/19 the gatehouse was struck by lightning. This caused damage to the roof and power loss to the building, impacting several services.

We are continuing to work closely with both vendors and wanted to provide the latest update as of this morning:
TEM has advised that the HID component has shipped. They are currently awaiting delivery of the Ethernet adapter, which is expected to arrive later this week.
STAR has received the RFID reader and is currently on-site completing the installation.
Once both replacement components have been installed, the system will undergo testing to ensure all equipment is functioning properly. After successful testing and confirmation of reliable operation, the gates will be returned to normal service and closed.
Our goal is to restore full gate functionality as quickly as possible while ensuring the repairs are completed correctly and provide a reliable long-term solution. Thank you for your patience, understanding, and continued cooperation.

We understand and share your frustration regarding the ongoing issues with the Promenade entrance gate. Please know that the Board of Directors and Management have been actively working with both TEM and STAR and is doing everything possible to restore full gate operations as quickly as possible.
We have followed up with both vendors for an update on the required replacement components and have received the following information:
TEM has advised that the HID component has shipped and is expected to be received on Wednesday or Thursday of this week.
STAR has informed us that the RFID reader is a custom-built component. The reader was ordered last Friday and received by the manufacturer on Monday. The production process takes approximately 10 days, after which it is expected to ship from California between September 25 and September 28.
To ensure residents can continue accessing their homes without interruption, the Promenade entrance gate will remain open until all required parts have been received and installed. We sincerely appreciate your patience and understanding as we work through these unforeseen delays. Please be assured that we are closely monitoring the situation and will continue to provide updates as information becomes available. Our goal is to have the gate fully operational as soon as possible while ensuring the system is repaired correctly and reliably.
Update #10: Friday 9/11 @ 4:00 PM
Last night, the Promenade entrance gate failed again in the closed position. It had to be manually opened.
This morning, working with a STAR Technologies technician, no issue could be found with the gates or gate mechanisms. However, they identified another piece of equipment (outside of the physical gate system) that could be a possible root cause to all our issues. Not to get too technical, each RFID Reader has a separate 'Access Controller' unit (one at each entrance). This piece of hardware decides if someone is authorized to enter, and, it sends the Open command to the gate if the person is "approved" (see diagram below). Like the RFID Reader itself, this component was not replaced as part of the Gate Project. It is scheduled to be replaced/upgraded as part of Access Control Project which is scheduled to start later this year. We are told that if this controller is starting to fail, it could work intermittently causing similar symptoms to what we are seeing at the gates.
TEM Systems manages those devices along with the kiosks. We have contacted TEM and the earliest they can get one programmed and to us is Wednesday 9/16. We have ordered one and plan to have it installed. We hope to have the new RFID Reader installed next week as well.
Update #9: Friday 9/4 @ 7:30 PM
Main Entrance Resident Gate:
The RFID reader was replaced late Thursday afternoon. After STAR tested the new reader to verify proper operation, it was determined that the main control board had also been damaged and requires replacement.
Unfortunately, this part is supplied by LiftMaster and is being shipped from California. At this time, an estimated delivery date has not been provided. Once the part arrives, installation will be scheduled promptly.
Promenade Entrance Gate:
TEM completed the installation of the replacement equipment yesterday. However, after installation was completed, it was discovered that the driver's license scanner was not functioning properly. A replacement scanner has been ordered and is scheduled for delivery on Saturday, September 5th. TEM is scheduled to return on that date to install the new scanner. Once the installation is complete, the Promenade Entrance Gate is expected to be fully operational.
We will send a follow-up notification once functionality has been confirmed.
Update #8: Tuesday 9/1 @ 4:00 PM
Main Entrance Visitor Gate: The visitor side is now fully operational. Both gate arms are functioning properly, and the visitor pass printer is back online.
Main Entrance Resident Gate: Repairs are still in progress. We are currently awaiting delivery of a replacement RFID reader that was damaged during the lightning strike. Once we receive an update on its installation, we will provide additional information to residents.
Promenade Entrance Gate: TEM is currently installing the intercom system and network switch. Upon completion of their work, STAR will be scheduled onsite to test and verify that all gate components are functioning properly.
We understand that this restoration process may seem lengthy; however, the gate systems and kiosks contain numerous interconnected components that must be repaired, replaced, tested, and coordinated among multiple vendors to ensure proper operation.
Please know that we are working diligently with all parties involved to restore full functionality as quickly as possible..
Update #7: Friday 8/28 @ 4:00 PM
Unfortunately, the additional components needed for operation were not delivered today. We have been informed they will be delivered on Monday. Once they are received, TEM Systems will return promptly to complete the work and restore full operation of both gate entrances.
We are still waiting for the repair quotes to the gatehouse roof.
Update #6: Thursday 8/27 @ 6:00 PM
TEM Systems received and installed the new scanners for both gates today. While this is an important step forward, a few additional components are still needed to complete the installation and ensure the systems operate properly. The remaining parts are scheduled for delivery tomorrow.
Once the additional components are received, TEM will return promptly to complete the work and restore full operation of both gate entrances.
Update #5: Tuesday 8/25 @ 10:00 AM
TEM Systems is currently awaiting delivery of the new scanners for both Prom and the Main Gate. They are expected to arrive no later than Thursday. Once the scanners are received, TEM will promptly schedule and complete the installation.

Update #4: Friday 8/21 @ 8:55 PM
Both our gate vendors, STAR Technology and TEM Systems, were onsite most of the day today but, even though they replaced several damaged electornic components, they were unable to get either the Promenade Gate or the Main Gate working consistently enough to close them. If more parts arrive tomorrow they will be back to install, otherwise it will be first thing Monday.
Management was able to schedule two different roofers to come onsite Monday to look at the roof damage.
Unless there are any changes tomorrow the next update will be Monday afternoon.
Update #3: Thursday 8/20 @ 4:55 PM
Summary:
The Main Gate entrance gate is open and will stay open until the Access System Controller can be replaced
The Promenade entrance gate is open and will stay open until the Visitor Kiosk is repaired
TEM Systems identified the issue at the Main Gate as a damaged access controller. A new part has been shipped for overnight delivery along with a new mini-computer. The technician will be back first thing tomorrow to install and test but until then both the resident and visitor lanes will have to remain open overnight.
STAR Technology arrived onsite to troubleshoot the issue with the Promenade entrance gate. It was determined that the issue was being caused by the kiosk being offline. A technician from TEM Systems is currently working to restore connectivity to the kiosk but there are several internal parts that need replacing. They are working to get those new parts to us as quickly as possible but we don't have an ETA. Unfortunately, until then, the Promenade entrance gate will have to remain open.
TEM Systems found the kiosk at the Mandalay 4 gate offline and the technician was able to reconnected it. The kiosk and the entrance gates are working normally again and are currently closed.
We don't have any update on the roof yet but we will continue to provide regular updates until all these issues are resolved.
Update #2: Thursday 8/20 @ 2:45 PM
TEM Systems, our Access Control Kiosk and CCTV vendor came onsite. The system controller for Main Gate has died, along with a data switch, and the Visitor Pass Printer. Unfortunately the Main Gate will need to remain open until the controller is replaced as it manages RFID access. The new switch and printer will be here tomorrow but we don't have an ETA yet for the controller.
TEM is currently working on the Internet router for the Mandalay 4 kiosk as it is down. Until this is repaired the Mandalay 4 gates will need to remain open as well.
The Promenade gate appears to be a different issue. STAR has been contacted and we are waiting for the ETA of their technician.
We are still waiting to hear back from Stratus Roofing. Multiple messages left.
Thursday 8/20 @ 10:00 AM
Internet connectivity was restored by Summit at around 9AM on 8/20, and the phones are back online at the clubhouse. We are still seeing issues with connectivity to the Mandalay 4 and Prom gates and we are waiting for the vendor to come onsite to resolve those.
The electricians completed their repairs at the gatehouse by 10AM.
There are two visible holes in the roof of the gatehouse, along with water damage in the ceiling of the gym. We are waiting for Stratus Roofing to arrive and resolve.
